Question: What is Vision Workflow and how can it be used at my company?

Answer

Vision Workflows and Events automate processes for your firm.  It is a fully configurable feature in the standard Vision system that allows changes to take place based on data entry or scheduled dates.

How do they work?  Once a configured Workflow is initiated, an Event takes place.

Workflows allow you to create conditions within Info Centers applications (and billing terms if Billing is installed) for which you want to be alerted. With Workflows you can automate the process of being alerted each time a specific event takes place, creating a timelier, more collaborative, and accurate completion of tasks.

Events are defined as when someone adds, changes, or deletes a record or a portion of a record. Once an event takes place, Vision performs an action based on the conditions you set, such as send an e-mail alert, change the value of a column, create an activity, or invoke a Web service. Multiple events and actions can be created for a single workflow. For example, you can create a workflow that states that when a new employee is added (event), then send an e-mail to the supervisor (action) and set up a lunch meeting (action). You can create workflows for both standard and user-defined fields and grids.

Example:

    * Workflow: The conversion of pending opportunities to awarded contracts.
      - The status of an opportunity changes from Pending to Awarded.
    * Events:
      -Update the "Close Date" field to today's date.
      -Distribute an e-mail to key personnel that includes details of the award.
      -Create an activity linked to the opportunity with a reminder to forward the contract to accounting.
